Draft: this page is being reviewed and may change before AyveeAI’s public launch. Bracketed details are still to be filled in.
This policy explains what personal information AyveeAI collects when you use our website and our app, why we collect it, who helps us process it, how long we keep it, and the choices you have. “AyveeAI”, “we” and “us” means [Company legal name], [registered address], registration number [RC number].
AyveeAI is used by companies to train their sales teams. When your employer sets up a workspace and invites you, your employer decides how AyveeAI is used in that workspace and is responsible for it, and we process the workspace’s information on its behalf. For our own website, sign-up, billing and support, we decide how information is used.
What we collect
Account information. Your name, work email address and a password (stored only as a one-way hash we can’t reverse). Your role in the workspace (rep, manager or admin) and the team you belong to.
Workspace information. Your company’s name, what it sells, who it trains, and the country it’s billed in. The buyers, scenarios and assessments your team creates.
Practice calls. When you make a practice call, we record its audio and transcript, and we produce feedback and scores from them. Before your first call, you’re asked to agree to recording.
Payments. What was bought, the amount and currency, whether it was paid by card or bank transfer, and for a card, its brand and last four digits. Card numbers and bank details go to our payment provider, never to us.
Usage and security information. The pages and features you use, your IP address, browser and device type, and records of sign-ins and important changes (for example, who changed a role), kept for security.
Messages. What you send us through “Send feedback” in the app or by email.
Why we use it
- To provide AyveeAI: running practice calls, producing feedback and scores, showing results to the people allowed to see them, and sending the emails the product relies on (invitations, feedback ready, assessment reminders, credit alerts and receipts).
- To take payment and keep accounting records.
- To keep AyveeAI secure: preventing abuse, limiting sign-in attempts, and investigating problems.
- To improve AyveeAI. If a workspace turns on “Help improve AyveeAI with flagged calls” (off unless an admin turns it on), our staff may review the transcript and audio of a call someone flagged as scored wrongly. Otherwise, staff open a call’s content only to provide support you’ve asked for.
We don’t sell personal information, and we don’t use it for advertising.
Who sees your practice calls
In your workspace, a call’s recording, transcript, scores and feedback are visible to you, to managers of your team, and to your workspace’s admins. Reps don’t see each other’s calls.
Who helps us process information
We use these service providers, under contracts that limit what they may do with the information:
| Provider | What they do for us | Information involved |
|---|---|---|
| Railway | Runs our app and database (United States) | Everything stored in the app |
| Cloudflare | Stores call recordings and images; protects our website | Recordings, buyer images, website traffic |
| Vapi | Runs the voice of practice calls | Call audio and transcripts |
| Deepgram (through Vapi) | Turns speech into text during calls | Call audio |
| OpenAI (through Vapi) | Writes the AI buyer’s replies during calls | Call transcripts and scenario details |
| Anthropic | Produces feedback, scores and the setup assistant’s drafts | Call transcripts and scenario details |
| Resend | Sends our emails | Names, email addresses, email content |
| Korapay | Takes payments | Payment details, email address |
| Zoho | Hosts our email inbox | What you send us by email |
We don’t use your calls to train AI models. Under the terms we use these providers on, they don’t use information sent through their services to train their models either.
Some of these providers process information outside your country, including in the United States. Where the law requires it, we rely on contractual safeguards for those transfers.
How long we keep it
| Information | Kept for |
|---|---|
| Call recordings | 365 days after the call (test calls: 30 days) |
| The voice provider’s raw call events | 30 days |
| Transcripts, feedback and scores | While your workspace is active, unless you ask us to delete them |
| Account and workspace information | While your account is active |
| Payment records | As long as tax and accounting law requires |
| Security records | As long as needed to protect the service, then deleted |
When a workspace asks us to delete its account, we delete its information within 30 days, except what the law requires us to keep.
Cookies
The app uses one cookie, to keep you signed in. Our website uses none. We don’t use advertising or tracking cookies.
Your rights
You can ask to see the personal information we hold about you, correct it, delete it, receive a copy, or object to how we use it. If your workspace belongs to your employer, we may pass your request to them, since they decide how AyveeAI is used there. Email [privacy@ayveeai.com]. We’ll answer within 30 days.
If you’re in Nigeria, the Nigeria Data Protection Act 2023 gives you these rights, and you can complain to the Nigeria Data Protection Commission. Elsewhere, your local data protection authority can help.
Security
Information travels encrypted (HTTPS) and is stored with our providers’ encryption. Each workspace’s data is kept apart in our database, and staff access is limited to what their work needs.
Children
AyveeAI is for work, and not for anyone under 18.
Changes
If we change this policy in a way that matters, we’ll email workspace admins before the change takes effect.
